BAS Event Privacy & Terms of Service

Privacy

BAS events are organised by The British Association of Sclerotherapists (“BAS”) which will collect, process, control and store your data according to the General Data Protection Regulation (GDPR) 2018. If you have any comments or concerns about how your data will be used or stored, please contact [email protected].

When you book to register, sponsor or speak at one of our events we collect personal information which may include name, organisation, GMC/NMC/GDC registration number, role, address, email, phone number, dietary or special access requirements and any other information necessary to provide you with event services and to administer the event.

We may share some of your data with third parties including:
  • Event venue, workshop leaders, accommodation providers or other parties requiring it for logistical purposes such as webinar or virtual conference platform providers
  • Sponsors of conferences are provided with a list of event attendees showing the same information that is printed on your badge i.e. Name, Role, Organisation, Location. Virtual event sponsors will be provided with your contact details if you have consented to receive their marketing information.
  • If you pay by debit or credit card your data will be collected by third party payment processors such as PayaCard Services, GoCardless, Stripe or PayPal.
  • Speaker’s information such as name, job title, organisation, photo and biography may be shared publicly on the BAS website, social media, promotional materials and the conference programme.
  • The British Association of Sclerotherapists will never share your personal data or contact details with any third parties for marketing purposes without your consent.
What data do we retain and for how long?

We would like to continue contacting you with details of BAS events, news, offers and occasional information from our sponsors. By registering for or sponsoring an event you consent to us contacting you via email, phone or post for these purposes. You may unsubscribe from such communications or request not to be contacted at any time, or request that we delete the personal data we hold about you.

If you are a member of the British Association of Sclerotherapists, or are still registered to attend a future event, we will need to retain the data necessary to administer the event or manage your membership.

British Association of Sclerotherapists does not retain financial data such as your bank or credit card details.

Photographs

Photographs and videos may be taken during sessions, break times, exhibition and social events which may be shared on our website and social media or used to promote future events. Virtual events will be recorded, and your questions and public chat messages will be visible to others who who view the event on demand later.

Any images taken by the BAS photographers or videographers remain the property of the organiser.

Terms of service

The views expressed by the speakers and panelists are personal opinions and the British Association of Sclerotherapists does not necessarily agree with or endorse the views expressed.

Cancellation and refunds
  • Fees paid are non-refundable. If you are unable to attend after making payment you will have access to any recordings made during the event. At the discretion of the British Association of Sclerotherapists part of the fee might be offset against attendance at another BAS event.
  • In the event that the BAS has to cancel an event, we will refund in full any pre-paid registration fees less the payment processing cost levied by the billing service. The BAS shall not be liable for reimbursing the cost of travel or accommodation arrangements that have been made by individual delegates.
  • In the event that the BAS has to reschedule an event you will  be offered a place on the new date or access to any recording should you be unable to attend on the alternative date.

Refunds will be made in the following ways:

For payments received by credit or debit cards, the same credit/debit card will be refunded. Any charges will be for the payee’s account.
For all other payments, a bank transfer will be made to the payee’s nominated account.
For payments received from outside the UK, the refund will be made by bank transfer and all bank charges will be for the registrant’s account.

Limit of liability

Personal arrangements including travel, accommodation or hospitality relating to any BAS event which have been arranged by you are at your own risk.

Neither the organisers, venue or sponsors will be responsible for any loss, theft, damage to your personal belongings or expense you may incur on the premises or as a result of attending the event.

Health and safety

If attending a physical event you must comply with all relevant legislation relating to health and safety and with any safety announcements and venue regulations of which you are made aware whilst attending the event.
